FINAL NOTES FOR STAGING/TECH/ DRESS REHEARSAL AND PERFORMANCES

STAGING, TECH, AND DRESS REHEARSALS 
are held at the Sandy Amphitheater (1245 East 9400 South)
beginning MONDAY MAY 6th and are MANDATORYAll Rehearsals are closed. 

COSTUME REQUIREMENTS:

  • Specific costume, makeup and hair requirements for each part are posted on www.mountainwestballet.org. Required leotard, tights, shoes, make-up, and hair will be checked off before dancers check in at Staging.  The person who will be doing the dancer’s hair and makeup must accompany the dancer to  check off  the items before checking in. Also, dancers should bring the required lipstick with them to Staging. This will be done during staging. Please come prepared.

  • Dancers will be outside in the Amphitheater during the staging rehearsalPlease wear appropriate clothing for the weatherIf it is cooler, have your dancer wear pants/jacket and bring a blanketThey can bring water and small items and books to keep them busy when they are not on stageRemind your dancers to make sure they keep track of any items they bring. They are not to leave the auditorium area and may not go outside the gates or in the basement areaAny dancer that does not obey the rules, his/her parents will be called and will be asked to come to the Amphitheater to sit with the dancer.

WEDNESDAY MAY 8TH - DRESS REHEARSAL/ SHARE THE ARTS NIGHT – 6:30 PM CALL TIME FOR GROUPS 1, 2, & 3; 7:30 PM CALL TIME FOR GROUP 4.

  • Group 1, 2 and 3 dancers must check in at 6:30 pm. Group 4 dancers must check in at 7:30 pm. All dancers must check in by the above call timesDo not be late for check-in, dancers will have a limited amount of time to get dressed and to get ready to go on stage. All dancers are in the finale and will stay until the end of Dress RehearsalPick up times are estimated to be 9:30 for all dancers.No later than 10:00pm, Parents, please keep cell phones close by in case your dancer calls and is ready to be picked up earlier.
  • Dancers must be in full performance-ready hair, make-up and clothing. Dress Rehearsal will run as closely to an actual performance as possible.  Specific costume, makeup and hair requirements for each part are posted on www.mountainwestballet.org (under the “dancers” section, then under the “performance information” section).
  • Please no fingernail polish or jewelry or colored hairPlease make sure that ballet shoe elastics are sewn on, and ties cut and tucked in. Dancers, please have extra bobby pins in your bags to secure head pieces.
  • Dancers may bring water bottlesFood will not be allowed in the holding areasThey may bring small games, electronics, books, etc. but ALL DANCERS are responsible for their own Items at all times.

FRIDAY MAY 10, 9:00 AM-11:00 AM- OUTREACH

  • Call time for all dancers is 9:00 am.  Dancers will be finished by 11:00 am.  The following dancers will perform in outreach this year: Alice, Lewis Carroll, Edith, Lorina, White Rabbit, Corridor of Doors, Caterpillar, Caterpillar Corps, Butterflies, Frog/Fish Footmen, Duchess, Cook, Mad Hatter, March Hare, Dormouse, Mad Tappers, Tea Party Servants, Gardeners, Queen’s Roses, Queen of Hearts, Queen of Clubs, Queen of Diamonds, Queen of Spades, King of Hearts, Jack Knave of Hearts, Jack Nave of Spades, Executioner, Parade of Cards, Card Corps, Flag Bearer, and Ladies with Tarts.
  • Our Outreach program will reach over 2,000 school children from the Salt Lake Valley this yearIt is a great way for us to share our love of dance and performing with the communityWe perform selected parts of the ballet in an educational program.

The show is approximately 1hour and 40 minutes (including intermission).

Dancer Call Times and estimated pick up times are as follows for all evening performances:

Group 1, 2, and 3 Call Time 7:00 pm, estimated pick up at 9:40 pm

Group 4 Call Time 8:00 pm, estimated pick up at 9:40 pm

Dancer Call Times and estimated pick up times are as follows for the matinee performance:

Group 1, 2, and 3 Call Time 12:30 pm, estimated pick up at 3:30 pm

  • All dancers must check in by the above call timesDo not be late for check-inDancers have a limited amount of time to get dressed and ready to go on stage. Pick up times are estimatesAll dancers are in bows (finale) at the end of the performance, so all dancers will check out after the performance ends.
  • All mom helpers, green room, and dressing room volunteers need to arrive at the earliest call time (7:00 pm for evening and 12:30 for matinee), because dancers could be arriving at the earliest call time if they have parents volunteering or watching.

PROCEDURES FOR DRESS REHEARSALS AND PERFORMANCES:

  • MWB has established check in and check out procedures for the safety of the dancersPlease be patient during check in and check out and please follow the established procedures.
  • CHECK-IN: All dancers must check in. Dancers must enter through the stage door located at the back of the Amphitheater. Audience members will enter through the gate at the west side of the Amphitheater and will not pass the check-in table. Only dancers and scheduled volunteers will be allowed past the check in/out desk.
  • BE ON TIME: Dancers must be on time for all dress rehearsals and performances.
  • BE READY: Dancers must arrive at the appointed time “Performance Ready” meaning dance clothes for under their costume already on, make-up and hair done. Do not plan on doing it once you arrive at the AmphitheaterDancers must wear street clothes (top and bottom) over their dance clothes. We want you to look like a professionalDancers, please have extra bobby pins in your bags to secure head pieces.
  • Dancers are not allowed into the auditorium during a performance, EVER.
  • CHECK-OUT: Dancers under age 13 will not be allowed to check out without an adult present at the check-out tableDancers who are 13 and older may check themselves outAll dancers will need to stay until the end of the performance.
  • Pick up your dancer on time: We love our dancers but leaving your dancer more than 15 minutes after rehearsals/performances is inappropriate, inconsiderate and puts the artistic staff and board members in the position of babysitting.
  • There will be no warm-up class for pointe dancers. Please come warmed up and ready to dance
  • Parents, please talk to your dancers about appropriate behavior and being respectful to all the volunteers and other dancersDisrespectful behavior is not tolerated!

VOLUNTEERS

  • All volunteers check in at the check in desk (same as the dancers) located through the entrance at the back of the Amphitheater.  Please sign in when you arrive and collect your badge.  Instructions/training will be given when you arrive.  Please remember to check out and return your badge when you are done with your shift.  Please arrive on time and stay for your entire shift.  Parents, please do not bring siblings with you to volunteerWe need all volunteers to focus on his/her volunteer positions.  It is necessary for the production to run smoothly.
  • Parents are expected to fulfill all of the  service hours commitment they have made.  Volunteer credit is only given once the parent has completed the position he/she has signed up for.  Please understand that all volunteer positions are set.  We don’t have people to step in for you at the last minute.  If you are unable to do your volunteer position, you are responsible for finding your own replacement (another family member, friend, adult sibling, or another parent).  Unfortunately, all board members have duties during the performances, and we are unable to find replacements for you.
  • Mom helpers and other volunteers must arrive at the first call time (7:00 pm for evening performances and 12:30 pm for matinee performance) and must stay until ALL of your dancers check out.  Even if the group you are assigned to help has a later call time, you must arrive at the first call time to assist any dancers that may check in early.  You are welcome to bring small games, activities or small movie players to keep your dancers entertained.
  • Parents– please talk with your dancers and make sure they understand that the rules need to be followed at all times, and to be respectful to all of the volunteers and other dancers.  Being disrespectful will not be tolerated and could result in parents being called or dismissal from performing. 
  • Thank you, wonderful parents, for being willing to donate your valuable time to this production.

TICKETS

  • Information on obtaining tickets for the production is on the website. Tickets are being sold through Buy Your Tix, and at the Sandy Amphitheater Box Office one hour prior to each performance.

CAST PARTY

Our cast party will be held on Saturday, May 11th, 3:30-4:30 pm. The cast party will follow the matinee performance and will be held in the grassy area just north of the dancers’ entrance of the Amphitheater (not at the park next to the water feature)Cast and Crew only, pleaseAttendees will receive their souvenir poster (bring a pen/marker with you if you want to collect autographs)Lunch will be served.  Parents please be advised that any dancer under 13 years of age will need to be checked out by you after the matinee ends, and you must walk them to the cast luncheonThere are not any volunteers to watch your dancer once the matinee endsYou are responsible for your dancer at the luncheonDancers under 13 years of age will not be allowed to walk over to the luncheon without a parent.

The cast t-shirt will be passed out before the production beginsWe encourage you to wear it around town and spread the word about our fabulous productionYou’ve worked hard—let’s get a big audience for our show!

No professional photo session will be available for this productionStage Photos will be available on the website Photo Gallery shortly after the production endsTo access the gallery, please read the article “Photo Gallery” under the “dancers” section of the website. 

DIGITAL DOWNLOAD OF RECORDED PERFORMANCE

The performance will be recorded on Saturday, May 11th.  Each dancer will receive a link to download a digital copy of the recorded performance instead of a DVD.

Back by popular demand, we will be offering cast-a-grams that parents, families, friends and dancers can send to a dancer. You can send cast-a gram with a flower or a trinket or cookie, candy. We will deliver it during the performance. 

You can send just a note for a $1 or purchase an item to go with it. The cast a grams and items purchased will be delivered during the performance.  You can buy them at the boutique. All items that we deliver must be purchased from the boutique. Remember this is our only fundraiser MWB does.

A REMINDER OF THE CAST RULES:

1. Dancers must attend all weekly rehearsals.  Failure to attend all weekly rehearsals will result in the dancer being put on probation.  Attendance at staging, tech, and dress rehearsal is not negotiable - it is mandatory for all cast members.  If you are going to miss a rehearsal, you must contact the teacher of your part by phone or e-mail (phone numbers and e-mail addresses are listed on the web site).  DO NOT call MWB or the parent liaison.

2. Dancers' families must volunteer for a minimum of 10 hours with MWB.  Dancers that do not fulfill their volunteer hours (including signing up for a shift but not showing up and completing the shift) will be put on probation and possibly not be able to audition for the next production.

3.  Dancers and parents must follow the MWB photo/video rules as follows

*No photos or videos may be taken on stage, backstage, or from the audience area

*Photos may only be taken in the holding areas and dressing rooms.  These photos may be posted online but credit must be given to MWB (which means you must include this language “Costumes copyright Mountain West Ballet (MWB)”)

*Photos taken by MWB and posted on MWBs website or shared online by MWB may be shared by dancers and parents, but credit must be given to MWB (which means you must include this language “Photo Courtesy of Mountain West Ballet (MWB)”)

4. *What is probation?  Probation means that during the next MWB production, the dancer will be on probation.  If the dancer fails to follow another rule while on probation, he/she will not be permitted to audition for the next MWB performance.  

5. Dancers must continue to train in ballet at their current ballet school throughout the duration of rehearsals for this production.  Strength, flexibility and technique are not worked on in rehearsals, but are keys to the excellence which each dancer brings to the production.

6. Be on time for all rehearsals, dressed appropriately (leotard, pink tights, ballet shoes, and hair in a bun not pony-tail or braid) and warmed up, ready to dance prior to your rehearsal start timeWe reserve the right to add or cancel rehearsalsPlease continue to check the dancers’ calendar online for updated information. 

7. Dancers must be picked up promptly, no longer than 15 minutes after the end of rehearsalFailure to meet this deadline will result in a ‘babysitting’ charge of $5.00.

8. Dancers and Families must be respectful of the Artistic Staff and all others involved, including cast membersExcessive talking, tardiness, disruption of rehearsals or noncompliance with direction given by authorized individuals is unacceptable and may result in dismissal.

9ALL REHEARSALS ARE CLOSED TO OBSERVATION no exceptions.

10. Unauthorized people are not allowed in the backstage areas during rehearsals and performancesParents are to escort their dancer(s) to the check-in area to check them in and outAll studio and theater rehearsals are closed; no one is allowed in the amphitheater or backstage during rehearsals, unless volunteering.

11. Any person who willfully destroys props, costumes or scenery is fully liable under the law to replace them.

12. Eating or drinking in costume or in the dressing/holding area is prohibited!!  Costumes are expensive 

and are part of a matching setIf a costume is stained or damaged, you may be required to pay to replace the entire set.

13.  All Fees and paperwork are collected at registration time. There is a $20 bank fee for each returned check. Registration fees and donations are non-refundable. Performance fee is refundable if dancer drops before first rehearsal.
